Use the summary for the correct version
After closing and resolving adjustments, obtain the summary that matches the final order. An export created before a product removal or replacement should not become the distribution list. Old lines may remain visible to explain a change, but the current articles and quantities are what you need to prepare. The document’s date and reference help identify outdated copies.
Check parcels before making individual packs
Compare the received pieces with the overview by product, version, size and design. Record any discrepancy precisely before contacting Owlin: expected reference, quantity and what you found on receipt. This check helps avoid discovering at the last pack that a size went to the wrong person. Keep items awaiting review apart from ready packs without changing order quantities on an assumption.
Keep named orders and club stock separate
Use the member view to gather each person’s articles. Check designs and options, not only model names. Extra pieces purchased to meet a minimum remain club stock; they should not automatically be handed to the member who ordered the first piece. Label the reserve clearly with model, version and size so it can be found and allocated deliberately later.
Explain changes when handing out the kit
A minimum-order replacement deserves a short explanation: original product, replacement and any price difference. Where members pay the club, it decides how to handle a higher or lower amount with them. The summary shows figures and history; it does not mean money has already been requested, absorbed or refunded. Distribution and confirmation of a payment are different actions.
Give precise collection arrangements
Communicate the location, times and contact, along with the information needed to identify an order. Avoid circulating a document containing every member’s orders more widely than necessary. Where individual delivery was offered and selected, follow that method rather than including the piece in club collection. This choice is neither automatic nor available on identical terms in every type of sale.
